Return Policy

This Shipping and Returns Policy applies to products purchased from RF Direct, LLC ("RF Direct," "we," "us," or "our") through www.rf.direct, an RF Direct quotation, or another authorized RF Direct sales channel. By placing an order, the purchaser ("Customer" or "you") agrees to this policy.

If a quotation, purchase agreement, manufacturer program, or other written agreement accepted by RF Direct contains terms that conflict with this policy, the terms of that agreement will control for the applicable order.

1. Order Processing and Availability

Orders are subject to product availability, payment approval, account verification, applicable credit limits, export controls, fraud screening, and acceptance by RF Direct. An order confirmation acknowledges receipt of an order but does not necessarily constitute final acceptance.

Inventory status, lead times, and estimated shipment dates are estimates and may change because of manufacturer availability, allocation, production delays, carrier conditions, or other circumstances beyond RF Direct's reasonable control. Products in the same order may ship separately and may arrive at different times.

If we cannot ship within the time stated when you placed the order—or, when no shipment time was stated, within the period required by applicable law—we will provide notice of the delay and any available options, which may include consenting to the revised shipment date, substituting an available product with your approval, or canceling the affected item for a refund.

2. Shipping Methods and Charges

Available shipping methods and charges are normally shown during checkout or stated on the applicable quotation. Shipping charges may be based on destination, service level, product dimensions, weight, declared value, handling requirements, and carrier surcharges.

Quoted freight charges are estimates unless expressly identified as fixed. RF Direct may adjust shipping charges when the actual shipment differs materially from the information available when the estimate was prepared, including for dimensional-weight adjustments, liftgate service, limited-access delivery, residential delivery, address corrections, redelivery, storage, hazardous-material handling, or other carrier-assessed charges.

Expedited service affects carrier transit time only and does not guarantee same-day order processing or product availability. Saturday, Sunday, and holidays are not business days unless the carrier expressly provides the selected service on those days.

3. Delivery Dates and Carrier Delays

Shipment and delivery dates are estimates unless RF Direct expressly agrees in writing to a guaranteed date. RF Direct is not responsible for delays caused by carriers, weather, natural disasters, labor disruptions, government action, customs processing, manufacturer delays, inaccurate delivery information, or other events outside our reasonable control.

Carrier tracking information is provided as a convenience. Tracking events and delivery estimates are generated by the carrier and may not update in real time.

4. Shipping Address and Delivery Requirements

You are responsible for providing a complete and accurate shipping address, contact name, telephone number, and any site-specific delivery instructions before shipment. Contact RF Direct immediately if an address must be changed. We cannot guarantee that an address can be changed after an order has entered fulfillment.

The Customer is responsible for carrier fees and other costs caused by an incorrect or incomplete address, refused delivery, unsuccessful delivery attempt, address correction, shipment intercept, redelivery, storage, or return to sender when the issue was not caused by RF Direct.

Some shipments may require a signature. The Customer is responsible for ensuring that an authorized person is available to receive the shipment and that the delivery location can safely accommodate the shipment.

5. Inspection, Shipping Damage, and Shortages

Inspect each shipment promptly upon delivery. Before signing for a visibly damaged shipment, note the damage on the carrier's delivery record when possible. Keep all cartons, packing materials, labels, and damaged products until the claim is resolved.

Report visible or concealed freight damage, shortages, incorrect items, or missing cartons to RF Direct through our Contact Us page as soon as possible and preferably within five business days after delivery. Include the order or invoice number, affected product and quantity, serial number when applicable, photographs of the product and packaging, and a description of the issue.

Failure to report a shipping issue promptly may limit our ability to obtain recovery from the carrier or otherwise resolve the claim. Do not discard packaging or return a damaged shipment without instructions from RF Direct. We may require the Customer to assist with a carrier inspection or claim.

If tracking shows a package as delivered but it cannot be located, check the delivery location, receiving department, neighbors, and carrier delivery details before contacting us. RF Direct will assist with a carrier trace when appropriate, but replacement or credit is subject to the outcome of the carrier investigation and applicable law.

6. Order Cancellations and Changes

Contact RF Direct as soon as possible to request an order change or cancellation. We will make reasonable efforts to accommodate the request, but an order cannot be changed or canceled after it has shipped.

Special-order, custom, configured, programmed, licensed, subscription, made-to-order, manufacturer-direct, or non-cancelable/non-returnable ("NCNR") products may not be canceled once RF Direct has accepted the order or committed to the manufacturer. Any manufacturer cancellation fee, restocking fee, or other nonrecoverable cost may be charged to the Customer.

Refusing delivery does not cancel an order. A refused shipment may be treated as an unauthorized return, and the Customer may be responsible for outbound freight, return freight, carrier fees, and any applicable restocking charge.

7. Standard Return Eligibility

Unless a product is excluded under Section 8, RF Direct may accept a return when all of the following requirements are met:

  • The Customer requests a Return Merchandise Authorization ("RMA") within 30 calendar days after delivery.

  • RF Direct approves the return and issues an RMA before the product is shipped back.

  • The product is unused, uninstalled, unconfigured, complete, and in new and resalable condition.

  • The product is returned in its original, undamaged manufacturer packaging with all manuals, accessories, cables, mounting hardware, licenses, promotional items, and other included components.

  • UPC labels, serial-number labels, manufacturer seals, and other product or packaging identifiers have not been removed, altered, covered, or damaged.

  • The product has not been registered, activated, provisioned, adopted into a cloud account, or associated with a nontransferable license or subscription.

  • The return is received by RF Direct within 15 calendar days after the RMA is issued, unless the RMA states otherwise.

Meeting these requirements does not guarantee approval. RF Direct reserves the right to inspect all returns and determine whether a product is eligible for credit.

8. Products That Are Not Normally Returnable

The following products are final sale and are not normally eligible for return unless RF Direct shipped the wrong product or the product arrived defective or damaged and is covered under Section 10:

  • Special-order, custom, modified, made-to-order, discontinued, clearance, or NCNR products.

  • Products configured, programmed, provisioned, calibrated, cut, terminated, assembled, engraved, labeled, or otherwise altered for the Customer.

  • Opened software, downloadable products, digital licenses, subscriptions, support contracts, service plans, cloud services, and activation keys.

  • Products with a registered, activated, consumed, expired, or nontransferable license, warranty, rebate, or subscription.

  • Cut-to-length cable, custom cable assemblies, custom mounting hardware, and other products sold by a measured or customer-specified length or configuration.

  • Open-box, used, demonstration, refurbished, or scratch-and-dent products sold as such.

  • Products damaged through installation, misuse, accident, improper storage, electrical or environmental exposure, electrostatic discharge, unauthorized repair, modification, or failure to follow manufacturer instructions.

  • Products missing original packaging, accessories, components, or serial-number labels.

  • Batteries, hazardous materials, or other regulated products when return shipment is prohibited or cannot be completed in compliance with applicable transportation requirements.

  • Any product identified as final sale or nonreturnable on the product page, quotation, sales order, or invoice.

9. Return Merchandise Authorization Procedure

To request a return:

  1. Use the RF Direct Contact Us page and identify the message as an RMA Request.

  2. Provide the RF Direct order or invoice number, product model, quantity, serial number when applicable, reason for return, and whether the package has been opened, installed, configured, or activated.

  3. Wait for written approval and RMA instructions before shipping anything.

  4. Package the product securely inside an appropriate outer shipping carton. Do not place labels, tape, or writing directly on the manufacturer's retail packaging.

  5. Clearly display the RMA number on the outer shipping label or as otherwise instructed.

  6. Ship the return using a trackable and adequately insured method.

Products returned without authorization, sent to the wrong location, shipped collect or cash on delivery, or received after the RMA expires may be refused and returned to the Customer at the Customer's expense.

The Customer is responsible for return shipping charges and risk of damage during return transit unless the return is required because RF Direct shipped an incorrect product or the product was defective or damaged upon arrival and RF Direct provides a prepaid return method. RF Direct is not responsible for products lost or damaged during an unauthorized or improperly packaged return.

Before returning network, surveillance, storage, or other data-capable equipment, remove customer data, credentials, configuration files, removable media, and cloud-account associations. RF Direct is not responsible for data left on returned products and may erase or reset returned equipment during inspection.

10. Defective Products and Warranty Claims

If a product appears defective upon arrival, contact RF Direct promptly and within 30 calendar days after delivery. We may require reasonable troubleshooting, photographs, diagnostic information, serial numbers, or confirmation from the manufacturer before authorizing a return or replacement.

When RF Direct confirms that a product was defective upon arrival, RF Direct may, at its option and subject to availability, repair the product, replace it with the same or an equivalent product, facilitate a manufacturer return, or issue a credit or refund. Advance replacement is not guaranteed and may require payment security or a deposit until the original product is returned and verified.

After the initial 30-day period, product defects are generally handled under the applicable manufacturer's warranty. Manufacturer warranties, remedies, exclusions, and procedures vary. RF Direct may assist with a warranty claim, but the manufacturer determines warranty eligibility and the available remedy unless RF Direct has provided a separate written warranty.

Damage caused by misuse, improper installation, incompatible power, lightning, surge, water intrusion, accident, modification, unauthorized repair, environmental conditions outside published specifications, or other excluded causes is not considered a product defect.

11. Restocking Fees and Return Shipping

Approved standard returns are subject to a 15% restocking fee unless RF Direct waives the fee in writing. A higher fee—or denial of the return—may apply if the product has been opened, if packaging is damaged, if components are missing, or if RF Direct or the manufacturer incurs additional inspection, repackaging, recertification, cancellation, or restocking costs.

Original shipping, expedited-service, handling, installation, programming, configuration, and other service charges are nonrefundable unless the return resulted from an RF Direct shipping error or as otherwise required by law. The Customer is responsible for return freight except as stated in Section 9.

12. Refunds and Credits

RF Direct will inspect an authorized return before issuing credit. If the return is approved, RF Direct will generally process the applicable refund or account credit within 10 business days after inspection. Banks and payment providers may require additional time to post a refund.

Refunds are normally issued to the original payment method. Purchases made on account may be credited to the Customer's account. The refund or credit may be reduced by applicable restocking fees, nonrefundable charges, missing-item costs, product damage, and other amounts owed under this policy.

If a returned product does not qualify for credit, RF Direct may notify the Customer and hold the product for a reasonable period pending instructions. The Customer may be required to pay return freight. If the Customer does not provide instructions or pay required charges within the stated period, RF Direct may dispose of the product as permitted by law.

13. International Shipments

Unless otherwise stated in writing, the Customer is responsible for import duties, taxes, customs charges, brokerage fees, permits, and compliance with destination-country requirements. International shipping charges do not necessarily include these amounts.

Customs delays are outside RF Direct's control. If an international shipment is refused, abandoned, or returned because of unpaid duties, missing permits, prohibited importation, or the Customer's failure to complete customs requirements, the Customer is responsible for resulting freight, duties, taxes, brokerage, storage, return, and disposal charges. International returns require advance approval and may be restricted by manufacturer, export-control, or transportation requirements.
